Position Title: Administrative Assistant – Full Time
Classification: Non–Exempt
Supervisor’s Title: Executive Vice President
Employees in this role are responsible for the following essential functions:
- Perform tasks and responsibilities as assigned by the Executive Vice President.
- Manages invoicing and accounts receivable in the YBA’s database, GrowthZone.
- Handle mail processing and answer telephone inquiries.
- Manage and maintain the scheduling of the boardroom and lounge to ensure availability and efficient use.
- Deliver exceptional customer service to members and consumers.
- Oversee and maintain member HIC numbers, and PA One Call invoices.
- Manages the customer referral services
- Manage daily office operations to ensure smooth workflow and handle all supply orders.
- Coordinate all aspects of YBA event registrations, including invoicing, badge preparation, confirmations, and room setup.
- Actively solicit member participation and sponsorships for events through frequent phone calls, demonstrating strong communication skills and the ability to confidently promote opportunities and close sales.
- Provide support for events as needed, ensuring successful execution.
- Oversee ad sales for the annual Resource Guide publication, adhering to established print deadlines.
- Assist with special projects as they arise.
To be considered for this position you must have the following qualifications:
- Must be proficient with the entire Microsoft Office suite (Word, Excel, PowerPoint, Outlook).

- Office environment with controlled temperature, frequently required to walk, sit, talk, hear, use hands and fingers to operate office equipment and reach with hands and arms. The employee is occasionally required to balance, stoop, kneel and crouch. The employee must occasionally lift 25 lbs. Specific vision abilities required by this job include close vision, peripheral vision, color vision and the ability to adjust focus.
